On The Money Accounting and Tax Services (“On The Money”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, how we protect it and the choices you have. It is written to meet our obligations under Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Person responsible for personal information
Ab Meeda, Founder, is responsible for the protection of personal information at On The Money. You can reach her at admin@onthemoneyltd.ca or 514-570-2663.
What we collect
- Contact details you give us through our contact or intake forms, consultation booking, email or phone (name, email, phone, business name).
- Client information needed to deliver accounting, bookkeeping, payroll and tax services, such as financial records, tax identifiers, and information about owners, employees or family members included in a return.
- Website usage data collected automatically, such as pages visited, browser type and approximate location, through cookies and our site analytics.
Why we use it
- To respond to enquiries and provide quotes.
- To deliver the services you engage us for, including filings with the Canada Revenue Agency and Revenu Québec.
- To invoice and manage our client relationship.
- To meet our legal and professional record-keeping obligations.
- To understand how our website is used and improve it.
We only collect what we need for these purposes, and we never sell or rent your personal information.
Who we share it with
We share personal information only as needed to provide our services or as required by law, for example with government tax authorities when filing on your behalf, and with trusted service providers that help us run our practice (such as cloud accounting, tax preparation, invoicing, email, scheduling, document storage and website hosting providers). These providers may store information outside Quebec or Canada. Before using them, we assess whether they protect information adequately and we require them to keep it confidential.
How we protect and keep it
We use reasonable administrative, technical and physical safeguards, including secure portals, access controls and multi-factor authentication. We keep client records for as long as required by tax law (generally six years after the end of the tax year they relate to) and then destroy or anonymize them securely. If a confidentiality incident creates a risk of serious injury, we will notify affected individuals and the Commission d’accès à l’information as required by law.
Cookies
Our website uses cookies for basic functionality and anonymous statistics. You can block or delete cookies in your browser settings; the site will still work.
Your rights
You may ask to access or correct your personal information, withdraw your consent (subject to legal or contractual limits), or ask how your information is used. Send your request to admin@onthemoneyltd.ca. We will respond within 30 days. If you are not satisfied with our response, you may contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.
